This position is located in Rockville, MD at The Universities at Shady Grove (USG).
 
Reporting to The Universities at Shady Grove’s (USG) Chief Strategy Officer, the Organization and Management Coordinator is responsible for all aspects of managing the office of the executive director. This position is responsible for meeting management encompassing a large number of and variety of committees and councils, developing agendas and communication materials. The position independently manages USG’s highly complex scheduling needs, determining and utilizing technologies designed to streamline and optimize executive office calendars. Prepares briefings, attends meetings, records focused and concise meeting topic summaries, and facilitates the development of action items based upon priorities. Frequently represents the executive director in an administrative liaison capacity within USG as well as with external organizations. This position will create, develop and maintain multi-layered, technology based organization, filing, and record keeping systems, maximizing use of technology and tools available for these purposes.

MINIMUM QUALIFICATIONS:

Education:

  • Bachelor’s degree from an accredited college or university.

Experience:

  • 5 years related administrative or business operations environment experience
  • Experience using productivity software and tools, such as Microsoft Office suite (Excel, PowerPoint and Word), Google Drive and file management tools, Adobe Acrobat, Canva, and virtual meeting technologies.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to prioritize initiatives effectively, while under pressure, and to develop project plans for a variety of priorities running concurrently, in order to meet established deadlines.
  • Knowledge of best practices for administrative and business operations; ability to design workflows and streamline processes.
  • Skills in, and the ability to apply, technology and tools available for organizing , tracking, and record keeping.
  • Written and verbal communication skills; ability to compose clear, concise & professional comprehensive analyses, correspondence, reports, studies, and presentations.
  • Knowledge of advanced principles, practices, concepts and techniques used in customer service, public relations and community outreach. Ability to utilize diplomacy, discretion, and to maintain highest levels of confidentiality.
  • Ability to be a self-directed team player who takes initiative, anticipates needs, exercises judgment, and makes informed decisions; ability to analyze situations accurately & adopt effective courses of action.
  • Ability to lead others in an inclusive and team oriented manner.
  • Ability to develop and maintain effective professional working relationships involving interactions and communications with a variety of individuals and groups from diverse backgrounds.

PREFERENCES:

  • Experience serving in a multi-faceted liaison, administrative role within an executive office;
  • Knowledge of and solid experience with a variety of software productivity tools;
  • Experience supervising direct reports.
